Understanding E-Mail and EdShare Quotas

Both EdShare, our network storage system, and E-Mail have storage quotas.  Confused about what those quotas are and what to do when you exceed one?
 

Faculty and Staff EdShare Quota

  • EdShare quota for faculty and staff: 500 MB
  • To check your EdShare quota usage go to EdWeb for Faculty and Staff and select EdShare information in the Manage Your Account section.  Your soft quota is the 500 MB.  You have a hard quota that you cannot exceed for more than one week that is 1 GB.  After one week you will not be able to use EdShare until you reduce your file storage to less than 500 MB.
  • All files stored in EdShare, whether in your personal EdShare folder or one of the shared folders count against your quota.  So if you have 
    • 100 MB of files stored in your personal folder
    • 150 MB of files in your office share (s_ofc_itec for example)
    • 250 MB of files in another share you share with just a coworker (s_project for example)
      You are using all 500 MB of your quota.
  • If you supervise staff or student workers with administrative accounts,  you will inherit all of their files when they leave their job.  A folder with the staff person's login name will be added to your personal EdShare folder.  If you do not need these files, you can delete them.
  • Faculty and staff can request an increase of quota by filling out the EdShare Form on the IT Account Forms page. 

Faculty and Staff E-mail Quota

Once your quota has been exceeded mail sent to your account will be returned to the sender with a message that the recipient's mail box is over quota.  
  • E-mail quota for faculty and staff: 500 MB
  • Faculty and staff can request an increase in quota by filling out the Email Quota form on the IT Account Forms  page
  • Check your quota usage by logging into Zimbra Webmail.  The quota status bar is in the upper right hand corner. Check your quota in Outlook by going to Tools and selecting Mailbox Quota.
  • Fast ways to delete mail to get back under quota:
    • Empty your Trash.  In Zimbra and Outlook, right-click on Trash and choose Empty Trash.
    • Empty your Junk.  In Zimbra, right-click on Junk and choose Empty Junk.

Student EdShare Quota

  • EdShare quota for students:  250 MB
  • To check your EdShare quota usage go to EdWeb for Students and select EdShare information.
  • All files stored in EdShare, whether in your personal EdShare folder or one of the shared folders count against your quota. This includes files in your public_html folder used for creating websites on myweb.stedwards.edu.

Student E-mail Quota

Once your quota has been exceeded mail sent to your account will be returned to the sender with a message that the recipient's mail box is over quota. You can check your quota by logging into Zimbra WebMail. The quota status bar is in the upper right hand corner.

  • Fast ways to delete mail to get back under quota:
